Privacy Policy

The short version

  • Your child's writing and scores are stored in Australia and stay in Australia.
  • We never sell personal information, and we never share your child's writing or scores with advertisers.
  • Children cannot create their own accounts. A parent or guardian sets up the account and manages it.
  • Scoring is automated. You can query any result by contacting us.
  • You can ask for a copy of your data, or ask us to delete it, at any time.

1. Introduction

Wadmore Pty Ltd (ABN 39 686 562 470), trading as Scholarship Practice ("Scholarship Practice", "we", "us", or "our"), is committed to protecting the privacy of everyone who uses our writing practice platform at scholarshippractice.com.au.

This Privacy Policy explains how we collect, use, store, disclose and protect personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Scholarship Practice handles children's writing and produces scored feedback that families rely on. We treat that as a serious responsibility. We apply the Australian Privacy Principles to all of our activities as a matter of policy, regardless of any small business exemption that might otherwise be available to us.

2. Anonymity and Pseudonymity

Under APP 2 you have the right to deal with us anonymously or under a pseudonym where it is lawful and practicable.

You can browse our public website and read our guides without identifying yourself.

It is not practicable to use the marking service anonymously. Feedback is personalised to the child's year level and name, results are returned to a specific parent or guardian, and we must be able to confirm that the person receiving a child's marked work is entitled to receive it. For these reasons we require identifying information for accounts.

3. Information We Collect

Account Information

  • Parent or guardian name and email address
  • Account credentials (passwords are stored in hashed form and are not visible to us)
  • Payment information (processed by Stripe; we do not store card numbers)

Child Information

  • First name
  • Year level (5, 6 or 7)
  • Exam month (where provided)

Children do not create accounts. A parent or guardian creates the account and adds child profiles.

Writing and Assessment Data

  • The text of each writing piece submitted (typed, pasted or transcribed from photographs)
  • Photographs of handwritten pages (where the handwriting path is used)
  • Planning canvas content (the dot-point plan the child writes before each piece)
  • Scores across five dimensions and the overall band
  • Feedback, improvements and model responses generated by the marker
  • Sentence-level tags (working, filling, reaching) from the examiner's lens
  • Pattern reports generated across multiple pieces
  • Weekly plans generated for each child

Technical Information

  • Device type and browser information
  • IP address and approximate location derived from it
  • Platform usage logs

We collect only the information we need to deliver the service, return accurate feedback, keep the platform secure, and meet our legal obligations.

4. How We Use Your Information

We use collected information to:

  • Mark writing pieces and generate scored feedback
  • Build and reshape weekly practice plans for each child
  • Detect patterns across multiple pieces of writing
  • Generate model responses and improvement suggestions
  • Send you the Sunday email and piece-marked notifications
  • Process payments
  • Maintain platform security
  • Comply with legal obligations

We do not sell personal information to any party. We never use children's writing, scores, feedback or any information about a child for advertising or marketing targeting purposes.

5. Automated Scoring

Scholarship Practice uses automated processes to score writing and generate feedback. This section explains what those processes do and what information they use.

What is automated

  • Sentence splitting. The child's text is split into numbered sentences by our code before any scoring begins.
  • Scoring. Each piece is scored against a rubric across five dimensions by an automated language model. The model runs twice; where scores disagree by more than one band, a third run is used and the median is taken.
  • Sentence tagging. Every sentence is tagged as working (advancing the piece), filling (taking up space without adding), or reaching (attempting something new).
  • Feedback generation. Three prioritised improvements, a next-practice instruction, a parent note and a model response are generated from the scores and sentence tags.
  • Pattern detection. After three or more pieces, patterns across the child's writing are identified (such as recurring reliance on vague evidence or repeated ending structures).
  • Plan generation. A weekly plan is generated and reshaped after every marked piece, based on the child's scores and patterns.

What information is used

These processes use: the child's writing, the child's year level, and the task type (persuasive, creative or informative). They do not use the parent's name, email, payment information or any demographic information.

What these outputs are, and are not

A Scholarship Practice mark describes how a piece of writing performs against our rubric for that year level and task type. It is not a prediction of exam results, not a guarantee of improvement, and not a measure of the child's ability or potential.

Querying a result

If you believe a score or piece of feedback is wrong, contact us at hello@scholarshippractice.com.au with the child's name and the date of the piece. We will review it and correct any error.

6. Data Storage and Security

All writing, scores, feedback and child information are stored on servers in Sydney, Australia (Supabase, AWS ap-southeast-2 region), and remain within Australian jurisdiction.

We implement security measures including:

  • Encryption of data in transit (TLS) and at rest
  • Row-level security ensuring each account can only access its own data
  • Secure authentication via Supabase Auth
  • No storage of payment card numbers (handled entirely by Stripe)

No system can be guaranteed completely secure. If a data breach occurs that is likely to result in serious harm, we will respond as described in section 10.

7. Children's Privacy

Most of the writing on our platform is by children aged 10 to 13. We design our practices accordingly.

  • Best interests. We handle children's personal information in a way that is consistent with the best interests of the child.
  • Consent. A parent or guardian must create the account and add each child before that child's writing can be submitted.
  • No independent accounts. Children cannot register for Scholarship Practice themselves.
  • No advertising. We never use children's personal information for targeted advertising, and we never share it with advertising platforms.
  • Minimal collection. We collect only what is necessary to deliver the service: first name, year level and writing.
  • Deletion. A parent or guardian may request deletion of a child's data at any time.

For young people

If you are the person whose writing is being marked:

  • We keep your writing and the scores and feedback it receives.
  • Your parent or guardian can see everything. So can we.
  • Nobody else sees it. We never sell it, and we never give it to advertisers.
  • The scores describe how your writing went against the rubric. They are not a judgement about you.
  • A computer works out your scores. If you think something is wrong, you or your parent can ask us to check it.
  • You can ask us to delete your writing. Email hello@scholarshippractice.com.au and we will help.

8. Disclosure of Information

We may disclose personal information to:

  • Service providers who support platform operations, under contractual confidentiality and data protection obligations (see section 9)
  • Legal requirements, where required by law, court order, or to prevent a serious threat to life, health or safety

We do not disclose individual writing, scores or feedback to any third party other than the account holder.

We may use de-identified, aggregated data to improve the accuracy and fairness of our marking rubric. De-identified data cannot reasonably be used to identify an individual.

9. Overseas Disclosure

Children's writing, scores and feedback are not transferred outside Australia. They are stored and processed in Australia only.

A limited set of information is handled by service providers who may process or store data outside Australia:

  • Automated scoring (Anthropic, United States). The child's writing text is sent to the Anthropic API for scoring. Anthropic does not train on data submitted through the API and deletes inputs within 30 days. The writing is not stored permanently outside Australia.
  • Payment processing (Stripe, United States, Ireland). Parent email and billing details.
  • Transactional email (Resend, United States). Parent name and email address.
  • Customer relationship management (HubSpot, United States). Parent email address, child first name and year level. Used to manage communications and support.

Before disclosing personal information to an overseas recipient we take reasonable steps to ensure the recipient does not breach the Australian Privacy Principles, including through contractual data protection terms.

10. Data Breaches

We maintain a data breach response plan. If a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act.

11. Direct Marketing

We may send you:

  • Sunday emails summarising what your child wrote, what improved and what is next
  • Piece-marked notifications when a piece has been scored
  • Product updates if you have opted in

Every marketing message includes a clear unsubscribe link. We never send marketing communications to a child. We never use writing, scores or information about a child to target marketing.

Service communications, such as account and security notices, are not marketing and will continue regardless of your preferences.

12. Data Retention

  • Active accounts. Writing, scores and feedback are retained while the account remains active.
  • Inactive accounts. If an account is inactive for 2 years, we will contact the account holder and then de-identify or delete the data.
  • Billing records. Retained for 7 years where required by taxation law.
  • Technical logs. Retained for 90 days.

You can request earlier deletion at any time. We will comply unless we are legally required to retain the information.

13. Your Rights

Under Australian privacy law, you have the right to:

  • Access the personal information we hold about you or your child
  • Request correction of information that is inaccurate or incomplete
  • Request deletion of your data, subject to legal retention requirements
  • Query any automatically generated score or piece of feedback
  • Withdraw consent for optional processing, including marketing
  • Complain about our handling of your information

14. Cookies

We use session cookies that are essential for the platform to operate. We do not use advertising or tracking cookies within the platform.

You can manage cookie preferences through your browser settings. Disabling essential cookies will prevent the platform from working.

15. Changes to This Policy

We may update this Privacy Policy from time to time. Where a change is significant, we will notify account holders by email at least 30 days before it takes effect. The version number and date at the top of this page indicate the current version.
